Champ Org Owner
About the Role
The team member who first accepts the invite to join Gloo Impact becomes the Champ Org Owner. The Champ Org Owner role has complete access to Gloo Impact and is the only role that has access to Know Your Business (KYB) and bank account information. It is also the only role that can’t be removed. As a Champ Org Owner, you can remove a Champ Org Admin, but the Admin cannot remove the Owner.
Accounts with this role have all privileges and can:
Create and manage programs
Access and edit Bank account information
Verify Know Your Business (KYB) information
Assist in setting up Gloo Impact for their org
Review and manage applications
Assign Frontline Champions to specific programs and applicants
Invite additional team members and manage team settings
Remove team members
How to Add a Champ Org Owner
First, determine who will own the end-to-end implementation of Gloo Impact for your organization. Then, let your point of contact at Gloo know so they can send you an email invite to the platform.
Note: The Champ Org Owner does not have to be the legal entity's owner. However, the Champ Org Owner is responsible for verifying the KYB details, including identifying the organization's legal owner.
In the email, click Accept Invite. To create your Champ Org Owner account, enter your Name and create a Password. Review and accept the Privacy Statement and Terms of Service by checking the box, then click Create account.
Now you can set up your organization in Gloo Impact. Enter your Organization name and EIN. Click Finish setup when you’re done.
⚠️Note: The Organization Name must be unique. Two organizations can’t have the same name.
Now you can link your bank account or complete KYB verification, which is required to publish programs and receive funds.
Champ Org Admin
About the Role
The Champion Org Admin role helps manage the Gloo Impact platform. However, Champ Org Admins can’t access bank information or complete KYB verification. Consider giving this role to team members who will be responsible for your org's day-to-day operations on the platform and creating and managing programs.
Accounts with this role can:
Assist in setting up Gloo Impact for their org
Create and manage programs
Review and manage applications
Assign Frontline Champions to applicants
Invite additional team members and manage team settings
How to Add a Champ Org Admin
Log in to Gloo Impact as a Champ Org Owner or Admin. Click your initials in the top right corner and select Settings. From Settings, select Team on the left side panel. Click Invite members.
For Choose a role, select Admin and enter the email address of the person you want to add. Then, click Send invites. They’ll receive an email invite to set up their account, and you can track their invitation status from the Team Members list.
Frontline Champion
About the Role
The Frontline Champion role focuses on managing assigned sessions, which are activities that applicants complete as they go through a program. The Frontline Champion only has access to the Dashboard tab and can only access the sessions of the participants they’ve been assigned to. The Frontline Champion role doesn’t have access to Programs or Settings. Consider giving this role to people on your team who will be responsible for verifying that participants complete their milestones and for managing any admin tasks associated with their assigned sessions.
Accounts with this role can:
Manage sessions of the participants they've been assigned to
Complete milestones that have been assigned to them as well as verify that participants have completed their milestones
How to Add a Frontline Champion
Log in to Gloo Impact as a Champ Org Owner or Admin. Click your initials in the top right corner and select Settings. From Settings, select Team on the left side panel. Click Invite members.
For Choose a role, select Champion and enter the email address of the person you want to add. If you don’t need champions to fill out an application, check the box to allow invitees to skip the application form. If you do need champions to fill out an application, leave the box blank. Click Send invites. They’ll receive an email invite to set up their account, and you can track their invitation status from the Team Members list.
Applicant
About the Role
Applicants are people who want to participate in your offering. When applicants create a Gloo Impact account, they have access to the Program Marketplace and can apply to the programs they’re interested in.
How to Manage Applicants
Champ Org Owners and Champ Org Admins can review and manage applicants’ program applications. Notifications for new applications will show up under the Tasks section so you’ll need to check the Dashboard tab in Gloo Impact regularly to review and manage them.
Log into Gloo Impact as a Champ Org Owner or Champ Org Admin. Select the Dashboard tab, then choose the program application you want to review.
Review the application and click one of the following buttons:
Click Reject if the applicant doesn’t qualify for your Program. The applicant will receive an email kindly informing them they weren't approved for the program and encouraging them to apply for a different one.
Click Approve & continue if the applicant meets the Program qualifications. If the sponsor organization includes a scholarship application, they’ll need to approve the application too. Then the applicant will receive an email letting them know their application has been approved and giving them access to your program.
After you click Approve & continue, select the Frontline Champion to verify the applicant’s sessions. Then click Assign & finish. The Frontline Champion will see the assigned sessions when they log in to Gloo Impact.
One thing to keep in mind is that the sponsor organization and the champion organization both need to approve the application for the applicant to join the program. If one organization rejects an application, it’s automatically rejected.
To see who rejected an application, choose a rejected application from the Application list. In the bottom of the left sidebar, you can see who reviewed the application and when.
